Enable File Server Processes
Three special processes must be put in place to support file sharing: assigning quotas, shadow copying, and indexing. These are all activated next. Begin with setting quotas.
CAUTION: Do not use the disk drive properties to set quotas, as this uses the older quota management tool that was included in previous versions of Windows. Quotas assigned this way only affect the specific volume to which they are attached.
- Go to Server Manager and navigate to the Roles | File Services | Share and Storage Management | File Server Resource Management | Quota Management | Quotas node.
- Right-click the D: drive in the details pane, and select Edit Quota Properties.
- Since this is the first time you use quotas on this server, we recommend you begin with a soft quota. Under the Copy properties from the Quota Template drop-down list, select Monitor 200 GB Volume Usage, and click the Copy button. This assigns a monitor-only quota to the entire drive. Note the changes in the Notification Thresholds area of the dialog box.
- Move to the Space Limit area, and change the limit to the actual size of your D: drive.
- Click OK.
Quotas are assigned to the entire drive. You can remove quotas from specific folders by editing their properties. Move on to setting up shadow copies for this drive.
- Move to Windows Explorer again, and right-click the D: drive to select Configure Shadow Copies.
- Before enabling this feature, you must modify the drive that will store shadow copies. To do so, click the Settings button. In the new dialog box, use the drop-down list to select the E: drive. Set the limit for the copy as appropriate-usually 6 GB is enough- and change the schedule if required. Click OK when done.
- The default schedule is at 7:00 a.m. and noon, five days per week. If this schedule is not appropriate, click the Schedule button to modify it. This is a scheduled task. Its scheduling features are the same as with all scheduled tasks.
- Click the Enable button to activate shadow copies.
- WS08 will give you a warning about enabling this feature. Click Yes to close it. Click OK to close the Shadow Copy dialog box once the first shadow copy is created.
Shadow copies are ready for this volume. Next, set the indexing or search options.
- Use the Start menu to open Control Panel. In Classic view, double-click the Indexing Options icon. In Vista view, navigate to System and Maintenance, and click Change How Windows Searches under Indexing Options.
- If you want to change the indexed locations, click Modify. However, these should be fine, since you set them when installing the File Services role. To set indexing options, click the Advanced button. Accept the UAC prompt if it appears.
- If you intend to encrypt user files, select the Index Encrypted Files option. Also, if there is a chance your users work in other languages, select the Treat Similar Words With Diacritics As Different Words option. This lets the Search tool know there are different languages in your data.
- Next, click the Select New button to move the location of the index. It should be
located on the E: drive under a new Search folder.
NOTE: You will have to stop and restart the Search service once you are done here to perform the actual move. Moving the index from the system drive will make it much more efficient. - Next, move to the File Types tab. You can use this tab to add new file types to index. For example, you can add the PDF extension to index Adobe Acrobat files.
- Type PDF into the bottom of the dialog box, click Index Properties and File Contents, and then click Add New Extension. Repeat the process to add other extensions-for example, CAD drawings. Click OK to close the Advanced dialog box and close the Indexing Options dialog box.
- Now restart the service to move the index location. Return to Server Manager, and move to the Configuration | Services node. Locate the Windows Search service and restart it.
